Sending from your own email
Connect Outlook or Gmail so offers, viewing rooms and invoices go out from your address, and collectors' replies land on their record.
GalleryCamp can send mail from your own Outlook or Gmail address rather than from GalleryCamp's. Collectors get offers, viewing-room invitations and invoices from someone they know, replies come straight back to your inbox, and every send is in your Sent folder as if you had written it there.
Nobody has to touch DNS or mail settings. You sign in to Microsoft or Google once, and they send the mail for you.
Connect your mailbox
Open Settings → Email and choose Connect Microsoft 365 / Outlook or Connect Google / Gmail. Sign in with the account you write to collectors from, and approve GalleryCamp.
Each person connects their own mailbox. Connecting yours changes nothing for your colleagues.
Until you connect one, mail you send from GalleryCamp goes out from GalleryCamp's address with your name on it and your address as the reply-to, so replies still reach you.
"Your administrator needs to approve GalleryCamp"
Many organizations on Microsoft 365 don't let staff approve apps on their own. If you see this, copy the link shown on the Email page and send it to whoever runs your IT. Approving takes them a minute, is done once for everyone at the gallery, and covers both sending and sync. Then connect again.
On Google Workspace, the equivalent is your administrator allowing GalleryCamp under Security → Access and data control → API controls in the Google Admin console.
What goes out from your address
- Offers you send from a deal.
- Viewing-room invitations you send or resend.
- Invoices and payment links when you send an order.
- Inquiry confirmations for inquiries made inside a viewing room you shared.
Every dialog that sends one of these says who it will come from before you press Send. If your mailbox has stopped working, it says so there, and you can reconnect or choose to send that one from GalleryCamp's address instead. GalleryCamp never quietly switches to its own address on your behalf.
Team invitations and notifications to staff still come from GalleryCamp.
Sync conversations with collectors
Turn on Sync conversations with collectors to bring your email with a gallery's collectors onto their records. Only messages to or from people already in your Customers are kept; everything else in your inbox is read past and never stored.
Choose who sees what you sync:
- Everyone in the gallery — the whole team sees the conversation on the collector's record.
- Subject and date only — the team sees that you corresponded and when, not what was said.
- Only me — nobody else sees it.
Changing this applies to mail already synced, not just to what comes next. How far back sets how much history the first sync brings in.
Turning sync off stops new mail being read. Disconnecting deletes everything synced from your mailbox. The record of offers and invitations GalleryCamp sent stays with the gallery.
Gmail sync is in early access while Google completes its review of GalleryCamp. Sending from Gmail works for everyone now.
When someone leaves
Removing a team member disconnects their mailbox from the gallery and deletes what was synced from it. Mail GalleryCamp sent for them stays on the gallery's records, under their name.
Owners and admins can see who is connected, and whether each mailbox is working, at the bottom of Settings → Email. Nobody's mail is visible there.
