Selling online

Put works up for sale on your website, so collectors can check out and pay without anyone at the gallery stepping in.

4 min read

Your website can sell works directly. A collector adds a work to their cart, checks out with their name and shipping address, and pays your invoice by card. The order lands in GalleryCamp like any other, and the money goes straight to your Stripe account.

You choose which works are for sale online, one at a time. Nothing goes on sale until you turn it on.

Before you start

  • Connect Stripe. Card payments go through your own Stripe account. Connect it under Organization → Collector payments. Until it is connected, your website hides the cart, and works with the switch on stay off sale.
  • Your website builds the cart. GalleryCamp keeps the cart and takes the payment, but the shop page and the cart are part of your website. Sites made with the GalleryCamp builder have what they need; if someone else builds your site, point them at the API briefing on your website's settings page.

Put a work up for sale

Open the artwork and turn on Sell in online store in the pricing section.

  • It needs a price. The switch stays off until the work has one.
  • The price becomes public. A collector can't buy something without seeing what it costs, so turning the switch on sets the price visibility to Public, and it stays Public while the work is for sale online.
  • Only Available works can be bought. A work you reserve, sell or mark Not for Sale drops out of the store by itself, and comes back if you set it to Available again.
  • The website has to show the work. The store only sells works the website includes. A site that shows one artist only sells that artist's works.

To change many works at once, select them in the artworks list, choose Edit, and set Online store. Works without a price are skipped, and the result tells you how many.

To see what is for sale online, filter the artworks list by Online Store → For sale online.

What happens when a collector checks out

  1. The works are held. Checking out reserves the works for that collector at once, so nobody else can buy them in the meantime. Until then, two people can have the same work in their carts; whoever checks out first gets it.
  2. An order is created. It appears under Orders as Unpaid, marked Online store, with the collector's shipping address. A new collector is added to your contacts. An existing contact's details are never overwritten; only blank fields are filled in.
  3. The collector pays your invoice. They go straight to your invoice page and are emailed a copy with the payment link.
  4. You hear about the sale. When the payment clears, the order turns Paid, the works turn Sold, and everyone who gets Online store sale notifications is emailed. You can turn these off under Settings → Notifications.

Shipping isn't charged online yet. The invoice is the price plus tax, and you arrange shipping with the collector.

Unpaid orders cancel themselves

An online order holds its works for one hour. If it hasn't been paid by then, it is cancelled and the works go back on sale. This stops a collector who wanders off, or anyone checking out with made-up details, from keeping works off sale.

If a collector is paying another way, such as a wire they have told you about, open the order and choose Keep this order. It then stays an ordinary unpaid invoice until you cancel it or record the payment. Recording any payment against the order also stops it cancelling.

Cancelled online orders stay in your orders list, because the collector was emailed an invoice number. Filter the list by Online store to see them together.

Abandoned carts

Carts are not orders and never appear in your orders, reports or contacts. A cart nobody touches for twenty minutes simply disappears.
