Create a private viewing room
Curate a focused presentation, control prices and access, then understand collector engagement.
A viewing room turns a selection of inventory into a deliberate collector experience. Use one when a list of attachments would feel impersonal or difficult to navigate.
Create the room
Open Sales → Rooms and choose New room. Give it a specific, recognizable title such as “Works on Paper — Autumn 2026” rather than a collector's full name.
Inside the Build tab, add a subtitle and short introduction. Explain why the works belong together, but keep the writing brief enough that the art remains central.
Add and arrange works
Choose Add works and select from the catalogue. Drag works by their handles to set the order the collector will see.
Lead with a strong, relevant work. Use sequence intentionally—by theme, scale, chronology, or the logic of a conversation—rather than simply keeping the order in which records were added.

Decide how prices appear
The room can respect the visibility set on each artwork or apply the room's chosen pricing treatment. Review every work before publishing; a room assembled from records with mixed visibility can otherwise surprise you.
Price visibility is not the same as availability. Confirm both.
Set publishing and dates
- Draft keeps the room unreachable while you prepare it.
- Published makes it available to intended visitors with the proper link or access.
- Archived removes it from active use while preserving the record.
Optional opening and closing dates are useful for previews, fairs, and time-limited selections. Avoid setting an unnecessarily short window if the collector may need time zones, advisors, or travel to review the work.
Share thoughtfully
Open the Share tab to prepare recipients and delivery. Confirm the recipient address, sender context, and message before sending. If the room is protected, communicate access details through an appropriate channel.
Do not put sensitive collector information in the room title or introduction. Links can be forwarded or appear in browser history.
Review activity
The Activity tab helps your gallery understand whether the room was opened and which works drew attention. Treat this as a conversation signal, not a verdict on taste or intent.
A useful follow-up sounds like: “I wanted to see whether any questions came up as you looked through the selection,” not “We saw exactly what you clicked.”
Print from a room
The Print menu can prepare practical documents from the same selection:
- Price list
- Tearsheets
- Wall labels
Review output in the browser before printing or saving as PDF. Confirm price visibility, image quality, spelling, and page size.
Before you publish
- Every work is still available as represented
- Images, dimensions, medium, and artist names are correct
- Prices appear exactly as intended
- The opening and closing dates are appropriate
- Introduction and recipient details contain no accidental private information
- You opened the collector-facing room on mobile and desktop
